The Lead Management Process, Step by Step

Six steps, and what to get right at each one.

This is the lead management process broken into six steps. Each one is simple; the value is in doing all of them consistently.

1. Capture

Get every lead into one system with its source attached. Website forms, referrals, campaigns and manual entries should all land in the same place.

2. Qualify

Decide quickly whether a lead is worth pursuing and how urgent it is. A light touch is fine — a status and a note beat a scoring model you never maintain.

3. Assign

Give the lead an owner immediately, by rule or by hand. Unassigned leads are the ones that get forgotten.

4. Follow up

Work the lead through a series of contacts, logging each one and scheduling the next. The follow-up should never depend on memory.

5. Convert

Mark the outcome — won, or lost with a reason. Lost reasons are how you learn.

6. Review

Once a month, look at volume by source, conversion by stage and response time. Fix the weakest step and repeat.
