Custom Lead Statuses and Sources That Match How You Sell

Name the stages your team really uses, give each lead type its own list, and record where every lead came from so reports compare like with like.

The short answer

Can I set custom lead statuses and sources in AliveCRM?

Yes. AliveCRM lets each company define its own lead statuses for every lead type, with a colour, a position in the order, a default for new leads and won or lost flags. Lead sources are your own list too, so every lead records whether it came from your website, a referral, an event or anywhere else.

Statuses answer "where is this lead now?" and sources answer "where did it come from?". Get both right and your pipeline, follow-ups and reports all start speaking the same language.

What goes wrong with generic stages

  • Reps invent their own labels in the notes field.
  • A service booking is pushed through sales stages that do not fit.
  • Won and lost leads are counted differently by each manager.
  • Nobody can say which channel brings the best enquiries.

A Status List for Each Lead Type

AliveCRM handles four submission types: project leads, service bookings, product orders and general enquiries. Each one has its own status list, so a booking can move from Requested to Confirmed to Completed while a project lead moves from New to Quotation Sent to Won. Nothing forces one set of stages onto very different work.

  • Separate lists for leads, bookings, orders and general
  • Rename, add or remove statuses
  • Changes apply to the matching pipeline

Colours, Order, Defaults and Outcomes

Give each status a colour so it stands out in lists and on the Kanban board. Drag statuses into the order a lead normally travels. Pick one default for new leads, and flag the statuses that mean won or lost so conversion counts stay consistent across every report.

Starting Point

Ten Sensible Statuses Ready on Day One

New companies start with ten statuses already in place: New, Contacted, Followup, Qualified, In Progress, On Hold, Postponed, Completed, Wrong and Lost. Completed is flagged as won, Wrong and Lost as lost. Keep them, rename them or replace them; the defaults exist so you can start capturing leads before the process is perfect.

Sources

Lead Sources You Define

Create sources such as Website, Referral, Trade Show or Walk-in, each with a description and an active switch. Every form is tied to a source, so website leads are labelled automatically, and you choose the source when adding or importing leads by hand. Retire a source by switching it off rather than deleting history.

Who It Is For

Who Benefits From Custom Stages

Businesses with mixed work

Sell products, take service bookings and quote projects, each with stages that match how that work really progresses.

Marketing-led teams

Consistent sources show which channels bring enquiries, so budget follows results instead of opinions from the last meeting.

Owners and managers

Won and lost flags mean every report counts conversions the same way, whoever on the team closed the lead.

Teams leaving spreadsheets

Match statuses and sources to the columns you already use, then import your CSV file without relabelling every row.

Honest limits

What Statuses and Sources Do Not Do

Statuses do not move by themselves; there are no rules that change a status after a set time or on a customer reply. Sources are labels you choose, not automatic channel tracking such as ad campaign parameters. Imported leads need sources that already exist, and an unknown status falls back to your default.

FAQ

Frequently Asked Questions

Can each lead type have different statuses?

Yes. Project leads, service bookings, product orders and general enquiries each have their own status list. That lets a booking follow Requested, Confirmed and Completed while a sales enquiry follows New, Contacted and Quotation Sent. Each list also drives its own Kanban board, so the pipeline always matches the work.

What statuses does AliveCRM start with?

New companies get ten statuses: New, Contacted, Followup, Qualified, In Progress, On Hold, Postponed, Completed, Wrong and Lost. Completed is marked as won, while Wrong and Lost are marked as lost. You can rename, recolour, reorder or remove them whenever your process changes.

Why mark statuses as won or lost?

The flags tell AliveCRM which outcomes count as conversions and which count as lost deals. Reports and the pipeline then calculate results the same way for every rep, even if your teams use different names for the final stage, which keeps conversion figures fair and comparable.

How are lead sources recorded?

Every web form is linked to a source, so leads it captures are labelled automatically, along with the page URL they were submitted from. When you add or import leads by hand, you pick the source. The lead list can be filtered by source and reports compare sources side by side.

Can I remove a source I no longer use?

You can switch a source off so it no longer appears when adding new leads, while older leads keep their original label. That keeps history accurate, so last year's reports still show where those leads came from even after the channel has been retired.
