Employee Roles and Permissions CRM for Indian Sales Teams

Give every employee their own login, decide what each role can open, change or delete, and let sales executives see only the leads assigned to them.

The short answer

How do I control what each employee can see in the CRM?

AliveCRM is an employee roles and permissions CRM built for sales teams in India. Your company creates its own roles, such as Sales Executive, Team Leader or Manager, and each role gets view, create, edit, delete and manage rights for areas like leads, forms, reports and users. A "self only" switch keeps a sales executive to the leads assigned to them.

Many owners start with one shared login, or with leads sitting in an Excel sheet that every employee can copy. That works until someone leaves with the customer list, or a new joiner deletes a week of enquiries. Separate logins and clear roles fix that without slowing the team down.

Signs your team has outgrown a shared login

  • Three executives use one password, so nobody knows who changed a status.
  • A trainee in their first week can export or delete every lead.
  • Your full client list is visible on every employee's phone.
  • When someone resigns, their enquiries and notes go with them.
How It Works

Bringing a New Employee Into the CRM

Set the role once, and every new joiner in that role gets the same access.

Logins

A Separate Login for Every Employee

All your employees work inside one company account, but each person signs in as themselves. A new user gets an email to verify their address and set their own password, so nobody shares credentials over WhatsApp. Every note, status change and reassignment is then tied to a named person, which matters when an owner asks who promised a client a discount.

Roles

Roles Named the Way Your Office Works

A digital marketing agency might have Account Manager and Intern. A builder might have Site Executive, Sales Head and Partner Broker. Create the roles you need and tick the rights each one gets, area by area. Menus and buttons a role cannot use stay disabled, with a short note explaining why, so an employee is never left guessing.

Self Only

Self-Only Access for Sales Executives

Switch on "self only" for a role and its users see just the leads assigned to them, in lists, searches and the Kanban board. Managers and admins still see the whole company. It is the simplest way to stop two executives calling the same customer, and to keep a coaching institute's or clinic's full enquiry list away from every login, including on the mobile app.

Security

Two-Factor Sign-In and Clean Handovers

Two-factor sign-in adds a second check after the password, using an authenticator app with recovery codes, or a code sent by email as a fallback. When an employee leaves, deactivate their account instead of deleting it. Their leads, notes and history stay in AliveCRM and can be reassigned to the rest of the team one lead at a time, so the customer never feels the change.

Who It Is For

Indian Teams That Need Clear Access Rules

Real estate builders and brokers

Give channel partners a limited role with self-only access, so they work their own site visit enquiries and nothing else.

Coaching and education institutes

Counsellors see the admission enquiries assigned to them, while the centre head sees every course and batch.

IT and digital marketing agencies

Keep export and delete rights with the founders, and let account managers update only the leads they own.

Teams with frequent turnover

Deactivate a leaver on their last day and hand their leads to a colleague with the full history intact.

Honest limits

What User Management Does Not Do

There is no single sign-on with Google Workspace or Microsoft, no IP restriction and no field-level permissions. There is also no branch module: you can organise city or branch teams through roles and assignment pools, but not as separate branches with their own settings. The number of users depends on your plan, and a leaver's leads are reassigned one lead at a time.

FAQ

Frequently Asked Questions

Can employees only see their own leads?

Yes. Turn on "self only" for a role, such as Sales Executive, and users in that role see only the leads assigned to them in lists, searches and the pipeline board, on the web and in the Android app. Owners, managers and admins keep full visibility across the company.

How many employees can I add?

It depends on your plan. The 7-day trial includes one user, and paid plans include more users as you move up. The pricing section lists the current limits in INR. Each employee gets their own login under your single company account, and you can deactivate users you no longer need.

Can I create roles like Sales Executive or Team Leader?

Yes. Roles are defined by each company, so you can name them to match your office, for example Sales Executive, Team Leader, Counsellor or Partner Broker. You then choose view, create, edit, delete and manage rights for each area. A new joiner gets the right access by picking one role.

What happens to leads when an employee resigns?

Deactivate the employee and their leads stay in AliveCRM with every note, call log and status change. Reassign them to other team members one lead at a time so follow-up carries on. If an auto-assignment rule pointed at that person, it falls back to round-robin so new enquiries keep flowing.

Can I manage separate branch or city teams?

AliveCRM has no dedicated branch module. Many companies handle city teams through roles and assignment pools instead: put the Pune executives in the pool for Pune projects, give them self-only access, and let a regional manager role see everyone. Reports can then be filtered by owner.

Does AliveCRM support two-factor login?

Yes. Two-factor sign-in asks for a second code after the password, from an authenticator app such as Google Authenticator, with recovery codes, or by email as a fallback. It protects your customer data if a password is guessed or shared, which matters more as more employees get access.
