How to Choose a CRM: A Practical Checklist

Start with how your team works, then run a real trial.

Most CRM comparisons are feature checklists. That is the wrong place to start. The CRM that wins is the one your team keeps up to date, and that depends on fit, not feature count.

Start with your workflow

Write down what happens to a lead today, from the moment it arrives to the moment it converts or is lost. Every tool you evaluate should make that path shorter, not add steps to it.

Questions to ask

  • How does a lead from our website get into this CRM?
  • How long does it take to assign a lead and set a follow-up?
  • Can everyone see what is overdue without configuring a report?
  • What does it cost at the team size we will be in a year?
  • What is gated to a higher plan that we will need on day one?

Red flags

  • The demo only looks good with sample data already loaded
  • Basic follow-up or reporting sits two plans up
  • Setup needs a consultant or a certified admin
  • Onboarding fees are mandatory

Run a real trial

Put a week of real leads through the shortlist. If the team is still using it at the end of the week without being reminded, you have your answer.
