CRM stands for customer relationship management. In practice, a CRM is a single place to keep every lead and customer, record what has happened with each one, and make sure the next step actually gets done.
What a CRM actually does
Strip away the jargon and a CRM does four things:
- Stores every lead and contact in one list instead of across inboxes and spreadsheets
- Records the status of each lead and who owns it
- Keeps the history — calls, emails, notes and the next follow-up — on the record
- Reports on the numbers: how many leads, from where, and how many convert
CRM versus a spreadsheet
A spreadsheet can hold a list of leads, but it will not remind anyone to follow up, show who is working which lead, or keep the conversation history in one place. As soon as more than one person is involved, a spreadsheet starts to drift out of date.
Who needs one
If leads come in from more than one channel, more than one person handles them, or you have ever lost track of a follow-up, a CRM will pay for itself. A very small team with a handful of leads a month can wait; most teams past that point are already losing deals to disorganisation.
