A Guide to Sales Lead Tracking
Track the few things that tell you whether a lead is moving.
Lead tracking is not about recording everything. It is about capturing the few facts that tell you whether a lead is progressing and who needs to act.
What to track on every lead
- Source — where the lead came from
- Status — where it is in your process
- Owner — who is responsible right now
- Last contact and next step
- Outcome and, if lost, the reason
Statuses that reflect your process
Use status names that match how your team actually talks about leads — not a generic funnel. Five or six clear stages beat a dozen no one updates.
Spotting stuck leads
The useful question is not "how many leads do we have" but "which leads have not moved". A view of leads with no activity in X days is where deals are recovered.
Reporting on lead flow
Once a month, look at how many leads entered each stage and how many moved on. The stage with the biggest drop-off is your next project.
